Step-by-step guide to printing labels

When you want to give your correspondence that professional touch, you can't go wrong by printing your own address labels. 

Not only will your envelopes look good, it's a time saver too. Best of all, all you need is a copy of Microsoft Word (we've used Word 2003) and some sticky labels.

1 Choose a label size

In Word 2003, open a new document and click Tools, Letters and Mailings and then Envelopes and Labels.

In the Envelopes and Labels box, click the Labels tab and then the Options button. 

In the Label Options box, use the Products drop-down menu to select the label manufacturer. 

Next, locate your label's product number and click to select it. Click OK.

2 Printing a single address

Type a name and address into the Address panel in the Envelopes and Labels box. 

Or, if the address you want is stored in your Outlook Address Book, click the address book icon. 

Double-click the relevant name and the contact details will automatically appear in the address panel. 

In the Print section, tick either Full page of the same label or Single label then click Print.

3 How to print multiple addresses

Repeat Step 1 then click the New Document button. 

A document formatted for the labels you're using will appear. 

Type your recipients' names and addresses into each cell. 

To move from cell to cell, either click in each one using your mouse or press the tab button on your keyboard. 

If you're sending out a mass mailing, it will be quicker for you to do a mail merge.

4 Add finishing touches

To add a bit of spit and polish to your labels, you can format text and add graphics. 

Select your labels and right-click, then select Cell Alignment, say, or Table Properties from the menu that appears. 

Click the Borders and Shading button and use the drop-down menus to select a border. Or click the Shading tab to add a background colour. 

Want to insert a picture? Click Insert > Picture then choose Clip Art or From File

You can resize your picture by dragging the marked points.
